Site Terms and Conditions for International Holidays

These terms and conditions should be read carefully before making a booking. By booking with TriSwim Ltd (“TriSwim”), you agree to be bound by the following terms.

Payment

A non-refundable deposit of €400 (subject to UK VAT at 20%) is required to secure your booking. Deposits are payable through our website or app at the time of booking.

The remaining balance will be invoiced and is payable by direct bank transfer. Full payment must be received 60 days prior to the retreat start date.

Bookings made within 40 days of the retreat must be paid in full at the time of booking.

If payment is not received on time, the booking may be treated as cancelled and TriSwim reserves the right to retain the deposit.

Flights, personal transport, bike hire, and travel insurance are not included in the retreat price.

If local tourist taxes are applicable, these will be advised and payable locally.


Cancellation by the Client

All cancellations must be made in writing (email is acceptable). Cancellation is confirmed once acknowledged by TriSwim.

Cancellation charges are as follows:

Important: You may request a full refund up to 14 days after you book, provided your booking is made at least 14 days before the final payment due date.

TriSwim does not allow transfers or deferrals of bookings to other people, events, or dates.

We strongly recommend purchasing travel insurance that includes cancellation cover at the time of booking.


Cancellation or Changes by TriSwim

TriSwim reserves the right to make minor or major changes to retreat arrangements. If significant changes occur before your arrival, you will be offered:

  1. An alternative retreat of equal value, or

  2. A full refund.

Our liability does not extend beyond this refund.


Accommodation

Rooms are provided in line with the retreat itinerary (Rome guesthouse and Villa d’Assio, unless otherwise stated).

Accommodation is either shared occupancy or private en-suite.

Check-in is normally from 15:30 on the day of arrival. Check-out is by 11:00 on the day of departure.

Wi-Fi, towels, and use of facilities (pool, gym, bar/restaurant) are included.


Meals

Breakfast, lunch, and dinner are included daily unless otherwise stated.

Meals consist of set menus (3 courses for lunch and dinner) with one soft drink or one alcoholic drink per meal. Additional drinks are payable locally.

Dietary requirements must be provided at the time of booking.


Transport

Group airport transfers are included, provided you arrive/depart at the designated times.

If you travel outside these times, you are responsible for your own transfers.

Local group transport to scheduled activities and restaurants is included.


Insurance

It is a condition of booking that all clients hold valid travel insurance covering:

  • Emergency medical care and repatriation

  • Cancellation and curtailment

  • Multi-sport activities including open water swimming, rafting, hiking, and cycling

  • Loss or damage of luggage, personal belongings, or hired equipment

Insurance details, including policy number and emergency contact, must be provided to TriSwim before arrival.


Welcome Pack, Forms & Waivers

Upon booking, you will receive a welcome email containing important retreat information and a form to complete, sign, and return.

This form must include:

  • Dietary requirements and allergies

  • Medical conditions or prior injuries

  • Current medications

  • Flight details and insurance policy information

  • Emergency contact details

  • Signed waiver for participation in activities

Completion of this document is mandatory. Guests who do not return the form will not be able to participate in retreat activities.


Risks and Liability

Participation in open water swimming, rafting, hiking, and other activities carries inherent risks. By booking, you accept full responsibility for your participation and agree to follow safety guidance from TriSwim coaches and activity partners.

You will be required to sign a waiver acknowledging these risks upon booking or arrival.

This does not remove TriSwim’s legal duty of care but clarifies your acceptance of the nature of the activities.


Behaviour and Damage

Clients are expected to behave responsibly and respect local customs, property, and staff. Any deliberate or negligent damage to accommodation, TriSwim property, or third-party property must be paid for immediately.


Itinerary Changes

All itineraries advertised are examples and may be adapted due to weather, safety, supplier availability, or other circumstances outside TriSwim’s control.

Additional costs due to delays, strikes, accidents, or force majeure will not be covered by TriSwim.


Photography & Video Consent

During the retreat, TriSwim may take photographs and videos of activities, swims, meals, and group experiences. These may be used for marketing, social media, and promotional purposes to showcase our retreats.

By attending, you grant TriSwim permission to use your image, likeness, or voice for these purposes without compensation.

However, you have the right to opt out. If you do not wish for your image or likeness to be used:

  • Please notify us in writing before the retreat by emailing info@triswim.org.uk, and

  • Inform Laura or Cris in person upon arrival so we can record your preference.

We will make every effort to ensure your image is not shared publicly.


Cash and Security

While Rieti and Umbria are considered safe, pickpockets may operate in larger towns or Rome. Clients are advised to carry minimal cash and use hotel safes.

Tips and gratuities are optional and never obligatory, though appreciated by local service providers.


Health & Safety

TriSwim prioritises guest safety and complies with UK and international health guidelines. Guests are expected to maintain good personal hygiene and follow local health advice during travel.
