Site Terms and Conditions for International Holidays

 

The following terms and conditions should be read carefully before making a booking. If you have any questions or queries, please get in touch and we’ll be happy to talk through them, you can email us at info@triswim.org.uk.

Payment
Please note that PayPal (charges apply) is our preferred method of payment and details are confirmed when booking, however an invoice and bank transfer is available upon request. An initial deposit of 30% of the total booking paid by PayPal or bank transfer is required upon booking via our web site. Once we have received your deposit and booking form, we will confirm your booking with the hotel and in turn confirm your booking with TriSwim. Once this has been confirmed your deposit is non refundable and non transferable. The total balance of the trip is to be paid 10 weeks prior to your arrival. If you are booking through our website less than 10 weeks before the departure date, then payment is required in full.

No special offers or early bird discounts can be applied to non athlete guest prices and are only available to athletes booking events at the original full price and on the special offer dates specified in the promotions. TriSwim operates a no refund policy for event registrations. 
The above terms and conditions are for all our TriSwim options. 
If payment is not in line with these timescales then the booking will be treated as cancelled and we reserve the right to retain the deposits which have been paid. 
Flights, personal transport, bike hire and personal insurance of any kind and hotel tourism tax are not included in the price of any booking. The tourism tax is to be paid at the hotel reception normally on departure if applicable. 

If tourism tax is applicable, we will let you know at the time of booking.

Cancellation by the Client
Cancellation must be in writing (e-mail is fine). We will contact you by email to confirm your requests. Sending request of cancellation by recorded delivery is advisable. You will be liable to pay the balance of the monies in full if you do not notify TriSwim of your intention to cancel 10 weeks prior to your departure date,  if however you have not paid the balance and we are unable to contact you we will cancel your booking and the cancellation charges will come into effect.
Please be aware that the event you are entering has a no-refund policy for registrations unless a separate cancellation policy is selected.
TriSwim does not allow deferral of a registration/package to any other event or to another person.

Cancellation charges 
Notifying us more than 10 weeks before departure – Loss of deposit.
Notifying us less than 10 weeks before departure – Loss of deposit and total balance*
* If you have not paid the total balance then TriSwim will seek to recover the outstanding balance together with any legal costs incurred during this process. It is always best to contact us by phone or e-mail to discuss any items with your booking.
TriSwim would strongly recommend that travel insurance is taken out at the same time as your booking with us that covers you for cancellation.

Cancellation or changes by TriSwim
Whilst rare, it could at some stage be necessary to make minor or major alterations to the booking and other details both before and after bookings have been confirmed. Although most changes would be minor ones, we reserve the right to do so but will advise you of any issues arising from such changes. If it is necessary to make a significant change before arrival, we will advise you as soon as we can. We will then offer you the choice of either accepting the changed arrangements notified to you or purchasing an alternative trip / holiday or a full refund, our liability would not extend beyond this refund. Should you wish to make any changes to your booking after it has been confirmed and reserved you are requested to advise us of your wishes. Whilst we will endeavour to assist to the best of our ability, we cannot guarantee that we will be able to meet all requests

Arrival
Your accommodation will be available to you from 15.30 on the day of arrival, unless you have contacted us to arrange an earlier check-in time at the time of booking.

Departure
Please vacate your room by 11:00 on the day of departure.

Conditions of carriage
TriSwim does not organise flights, ferry Airport transfers or train travel. TriSwim has no part in the contract between you and the chartered, airline, ferry, transfer provider car hire or train company.

Damage
Any damage to the accommodation or property of TriSwim or any third party by the client whether accidental or deliberate must be paid in full at the time of the damage.

Insurance
Clients attending a TriSwim clinic must purchase a comprehensive and valid multi sports insurance policy in place when they arrive and during their stay with TriSwim. This policy should include emergency medical care, cover for personal injury, including cover for all activities, including water activities, loss or damage to your luggage, loss or damage to equipment hired or borrowed from us or third parties, repatriation, legal expenses cover and expenses associated with cancellation or curtailment of their booking. You should, if applicable, be in possession of an up to date EHIC card available from your local post office or online before travelling abroad.

It is a condition of your booking that you have travel insurance that covers multi sport activities including swimming (both pool and open water) and any other activity you wish to undertake on your trip and that these documents with emergency telephone numbers are made available to TriSwim before your arrival at your holiday. 

Risks
You should recognise the inherent risks in the activities you will be participating in and agree to accept complete responsibility for any injury, damage or loss caused by you as a result of participation in those activities. You will be requested to sign a disclaimer when booking and or on arrival at the hotel, which outlines your acceptance of the risks as part of participation in the activities at TriSwim. This does not remove our legal duty of care but is simply used to highlight your acceptance of the risks inherent in the activities in which you are participating.  We will also highlight these in our welcome meeting and through a waiver we ask you to sign on your arrival day.

Changes to the TriSwim Itinerary
Occasionally we might have to differ from a displayed itinerary. All itineraries advertised on our website are of example only and not a statement of intent. TriSwim has the right to change and adapt the displayed itineraries as they see fit. If by any chance additional expenses are incurred through situations outside of our hands i.e. delays, accident, strike, riots or acts of God and the like TriSwim will not be held accountable.

Accommodation
Rooms booked on your behalf are either twin sharing, or private double en-suite at Villa d’Assio. The rooms are clean, comfortable and well spaced. If you wish to upgrade your hotel room or make your own hotel arrangements you have the right to do so, however the fee paid to TriSwim for the clinic will remain the same as use of facilities and coaching are included in the total price. If you wish to upgrade your hotel room, please liaise directly with Villa d’Assio at the time of check in.

Minimal time will be spent in your hotel room as activities will be arranged throughout the majority of the day.
Wifi is provided free of charge.
Bathroom towels are provided.
You have use of all on-site facilities including swimming pool, gym, restaurant and bar at all times.

Food
Breakfast, lunch and dinner is included in the price of your trip. Meals are served at Villa d’Assio and/or at other local restaurants. A selected menu consisting of 3 courses (for lunch and dinner) will be offered to you which is included in the price of your trip, should you wish to add more courses/side options or order something not on the set menu, the difference of the cost will be owed by you at the time.

A selection of soft drinks and one alcoholic drink is included with each meal. If you wish to purchase more drinks, this will be at your additional cost.

We cater for all food allergens and dietary requirements, we ask that you notify us at the time of booking of any dietary requirements.

Airport Transfer and local transport
Please let us know your flight details as early as possible so that we can arrange a group airport transfer. We are aware that some of you are travelling early to Rome, in that case, please be at Rome Airport for 10:00 on the first day of your holiday dates with us.

We will endevour to arrange an airport transfer back to your chosen airport on departure day unless you are travelling onwards to another destination.

We will organise group transport to and from schedules activity locations/restaurants, but should you wish to explore the area in your own free time, please consider hiring a car.

Bike Hire
We can organise bike hire on your behalf and this will be an additional cost of Eur 40.00 per day payable directly on site.

Cash and security
Rieti and the Umbria region is a very safe, inclusive region to travel to, however from time to time pickpockets do operate in cities and larger towns. We advise only carrying minimal cash with you at all times.
Each hotel room comes with its own safety deposit box to store away valuables and passports.

It is adviseable to bring some cash with you to pay for coffee or cake during pit stops, to purchase gifts and personal items, and to offer a tip to the people of Reiti. Tipping is optional, but it will be well received by the locals that are serving you.

Coronovirus in Italy
There is an outbreak of a virus called Covid-19 which is part of the Coronovirus family which has been widely publicised to have infected many people throughout Asia and has now infected a number of people in Europe. Recently, parts of Venice have been placed in quarantine to prevent the spread of this virus and has caused some alarm to those looking to book this trip.
We take the safety of our clients extremely seriously and wanted to assure our customers that we will not knowingly place you in any danger of contracting the virus.

We advise that you purchase holiday insurance which covers cancellation of flights and medical expense insurance as a precaution. We also advise that you practice good hygiene by regularly washing your hands and carrying a bottle of antibac for when you cannot wash your hands. A face mask and gloves may be worn which may offer a further layer of protection during your flight.
